Late Cancellations or late re-scheduling:
Cancelling or rescheduling your appointment with less than 48 hours’ notice (before the scheduled appointment date) will be considered a ‘late cancellation’. In such cases, a fee of £50 will be charged to your account. There are no exceptions.
No-Show Policy:
Failure to attend a scheduled appointment without any notice will be considered a “no-show.” In the event of a no-show, a fee of £100 will be charged to your account. Again, no exceptions.
Policy Acknowledgment:
By scheduling an appointment at The Clinic Norwich, you acknowledge and agree to abide by the terms and conditions of this cancellation policy.
We appreciate your understanding and cooperation in adhering to the cancellation policy. This policy ensures that we can continue to provide exceptional services to all our patients in a timely and efficient manner.
Cancellation & Rescheduling Policy, Terms & Conditions of Booking
At The Clinic, all appointment times are reserved exclusively for you. To ensure fairness to all patients and to allow our clinicians to deliver care safely and efficiently, the following terms and conditions apply to all bookings.
1. Cancellation & Rescheduling Notice
A minimum of 48 hours’ notice is required to cancel or reschedule any appointment.
Appointments cancelled or changed with less than 48 hours’ notice will incur a £50 cancellation fee.
This policy applies without exception, including illness, accident, work commitments, childcare issues, travel disruption, or other unforeseen circumstances.
2. Fairness & Operational Considerations
Appointments involve allocated practitioner time, treatment rooms, and clinical preparation.
Short-notice cancellations are rarely able to be filled and result in lost clinical time.
A strict and consistent policy ensures fairness to all patients and supports the safe and sustainable running of the clinic.
If The Clinic needs to cancel or reschedule your appointment with less than 48 hours’ notice, a £50 credit will be applied to your account.
3. Arrival Time
We politely request that you arrive approximately 5 minutes before your scheduled appointment time.
Please do not arrive significantly earlier, as reception seating and waiting space are limited.
Late arrival may result in a shortened appointment or, where this is not clinically appropriate, the need to reschedule. In such cases, the cancellation fee will remain applicable.
4. Clinic Experience & Appointment Flow
We welcome you to enjoy a coffee, relax, and take in the beautiful ambience of the clinic before your appointment begins.
On occasion, appointments may run slightly behind schedule. This can be due to factors such as the late arrival of a previous patient or an additional treatment being requested during their appointment. While we always aim to accommodate such requests wherever possible, this is subject to clinical feasibility and time availability.
5. Missed Appointments & No-Shows
Failure to attend an appointment without notice will be recorded as a no-show.
A no-show fee of £100 will be applied.
Fees reflect the loss of clinician time and clinic resources reserved exclusively for your appointment.
6. Right to Refuse or Postpone Treatment
All treatments are subject to a clinical assessment on the day of your appointment.
We reserve the right to refuse or postpone treatment if it is deemed unsuitable, unsafe, or if contraindications are present or disclosed.
This includes, but is not limited to:
- Medical concerns or undisclosed medical conditions
- Active illness, infection, or skin conditions
- Intoxication with alcohol or substances
- Aggressive, abusive, or inappropriate behaviour towards staff
- Unrealistic expectations or requests that fall outside safe or ethical practice
Where treatment is deemed unsuitable or unsafe on the day of attendance, this is considered a clinical decision and not a clinic cancellation. In such circumstances, standard cancellation or no-show fees may still apply in line with this policy.
7. Children & Additional Guests
For safety, clinical, and confidentiality reasons, children and additional guests are not permitted in treatment rooms.
Exceptions may be made only if agreed in advance with the clinic.
The clinic reserves the right to reschedule an appointment if this policy is not adhered to.
8. Results & Expectations
Results vary between individuals and are influenced by factors including age, skin condition, medical history, lifestyle, and adherence to aftercare advice.
Specific outcomes cannot be guaranteed, and multiple sessions may be required to achieve or maintain desired results.
All treatments provided are cosmetic and elective in nature, are not medically necessary, and no outcome can ever be guaranteed.
9. Payment Authorisation & Data Agreement
As part of our cancellation policy, you will be sent a ‘one-off’ £1 payment authorisation link to be completed prior to your appointment.
This payment forms part of the booking agreement and must be completed before your appointment.
The £1 paid will be deducted from the cost of your treatment at your appointment.
The authorisation allows us to securely store your details on our clinical records system in line with UK data protection regulations.
Should a late cancellation, no-show, or failure to attend occur, the applicable fee will be deducted using this authorised payment method.
10. Confirmation & Acceptance
By signing this document, you confirm that you have:
- Read and understood the Terms & Conditions
- Agreed to the Terms & Conditions
